Creating Sales Orders

To create a sales order, select the New Orders module under Sales from the horizontal menu.
Click the + New Sales Order button.

Customer
- Select an existing customer by typing the customer's name into the search bar, then click Add.
- To add a new customer, click the + Customer button, then enter the details into the customer-related fields. Click Save.
- Enter the purchase order number in the Customer PO# field, then select the Date Ordered and Deliver By dates from the dropdown calendars.
- Add the purchase order document by clicking + Upload, then choose the file you want to upload.

Product(s)
- Select the formula for the requested product, then click Add.
If you wish to add a new formula, click the + Formula button, then enter all the details for the new formula, including the bill of materials and, if applicable, capsule details.
- Click Save to save the new formula. If you are an Admin or QC User, you will also have the option to select Approve to approve the formula for use.
- For more on creating formulas, please see Adding a Formula in the Products section of this documentation.
Once you have selected a formula, complete the fields that follow, as outlined below.
- Enter the quantity to be included in each container in the Quantity Per Container field.
- Enter the quantity of the item in the Order Quantity field, and select the unit of measure for the item from the dropdown labeled Unit.
- Under the Customer Terms field, select the payment terms or time given to the customer to pay from the dropdown list.
- Specify any additional requirements or custom requests by checking the respective boxes in the Additional Details section.
- Under Materials Cost Projection, view auto-calculated cost projections to easily see the cost of each product. Expand the row using the + button to view the breakdown of each material within the product. Select a different supplier for the material, change the minimum order quantity (MOQ), or adjust the cost per unit to automatically see the impact of the change on the overall product cost in real-time.

Quoting
- Under the Product(s) section on the Quoting page, you can view the auto-calculated cost projections for each product.
- Under the Quoting Cost Summary section, view the respective totals for the materials, then add in Labor Cost, Lab Test Costs, Tax Cost, and Additional Costs to obtain to Total Order Cost and the Total Order Cost (MOQ).
- Click the Calculator icon next to Labor Cost, Lab Test Costs, or Additional Costs to automatically calculate waste, labor, and any other additional costs.
- In the Quoting Projections section, you can adjust the Customer Sale Price per Bottle and Customer Launch Quantity to automatically update the projections. Adjust these pricing variables to find the ideal profit margin, the right customer cost, and your desired gross profit. Once you have arrived at the desired metrics, click the View Quote button to automatically generate a PDF document containing the quote for the customer.
- If you want to give your customer multiple pricing options, you can use the tool in the Customer Quote Pricing section.
- To use this tool, use the sliders (or directly type values into the fields) to select the desired Customer Sale Price per Bottle and Customer Launch Quantity.
- With your desired amounts selected, click the Set Row button. This will lock in the Profit Margin, MOQ, Customer Total Price, Customer Price per Bottle, Total Cost per Bottle, Total Cost per Bottle (w/ MOQs), Out of Pocket Cost, and Gross Profit associated with the values you chose.
- You can then adjust the Customer Sale Price per Bottle and Customer Launch Quantity sliders again, and click Set Row in the next row below the previous.
- Repeat the process up to five times to give your customers up to five options to choose from on the quote.

Notes
- You can record Shipping Notes and Special Notes for the sales order in the respective text fields.
- Under the additional attachments section, you can add any additional files needed for the sales order by clicking + Upload.
- Click the Save button to save the new sales order. Once saved, the sales order can be accessed from the New Orders tab.
