Managing Lots

Within the Inventory module, you can manage specific lots of inventory. Click the Expand icon to the left of any item row to view lot metrics.

Lot-Specific Information

Click the + icon in the far-left column of an inventory item to expand the item. This will display lot-specific information about the inventory, including the following:

Unique ID: The item's unique identifier, which ensures that the item can be uniquely identified within the system, facilitating efficient tracking and management. This column includes a Label button. Click this button to view the label for the lot.

Labels

For each lot, ezGMP automatically generates a QR code and label to use to easily access information and move items throughout your warehouse.

Click the Download button to open a PDF of the label.

Click the Print button to print the label.

Click Details to view additional information about the lot.

Batch ID: The unique identifier assigned to the particular batch or production run.

Stock Status: Real-time information on the current state of the inventory, indicating whether the item is in stock. This column includes the expiration date.

Amount: The quantity of the specific item in the inventory.

Allocated: The portion of the inventory that has been reserved or allocated for specific purposes, such as fulfilling customer orders. This column displays the allocated quantity in units and as a percentage of the available inventory.

Mixed: The quantity of the inventory that has been combined or mixed with other items.

Order for: The customer or entity for whom the product is reserved or has been ordered.

Quality: This column provides a place to manage and document quality-related information for inventory items. Users can attach or view quality documents or record new quality events.

Location: The place where the item is stored in the facility.

Lot-Specific Actions

View

See additional information about a lot by clicking the View button in the Actions column. This opens a new page containing data about the lot ordered, the lot received, the current status, and the location of the lot.

Edit

To edit a lot, click the down arrow under the Actions column, then click Edit. This will open a window where you can edit information about the lot. You will be required to enter a reason for editing the lot.

Set Status

Set the status of a lot by clicking the down arrow under the Actions column, then click Set Status. Select a status option, then click Add.

View PO

To view the purchase order for a particular lot, click the down arrow under the Actions column, then click View PO. This opens a PDF of the purchase order in a new tab.

View Audit Log

To view any changes that have been made to the lot over time, click the down arrow under the Actions column, then click View Audit Log. This opens a window displaying all changes made with date and time stamps. To view a PDF of the audit trail, click the PDF icon in the top right corner.

Archive

To archive a lot record, click the down arrow under the Actions column, then click Archive. You will be asked to confirm that you want to delete the item before it is deleted. Click Yes to proceed with deleting the record, or click No to return to the inventory list screen.

Assign Location

Assign a location to a particular lot by clicking the down arrow under the Actions column, then click Assign Location. Enter the location ID for the location you want to assign in the Location ID field, then add the amount in the Quantity field.

Alternatively, click the Manually Select button to select a location from the list of locations. Click the row with the desired location, then click Add.

Split into Lots

To split a lot into sub-lots, click the down arrow under the Actions column, then click Split into Lots.

  • Enter the number of sub-lots you want to split the lot into in the Quantity field. Select the unit of measure associated with the inventory.
  • Enter the lot number in the Lot Number field.
  • Enter the expiration date for the lots by typing the date into the Expires field, or by clicking the date on the calendar dropdown.
  • Click Split to split the lot, or click Cancel to leave without saving changes.
